Artificial intelligence (AI) as an efficiency tool for organizations and a powerful partner for HR teams? In a country like Belgium, with one of the most complicated payroll systems worldwide, this sounds like music to the ears of many HR professionals. Let’s dive into the matter with both our very own CEO, Geert Vromman and CEO of Syntegro, Frank De Weser. They explain how Syntegro and CROPLAND are collaborating on an AI chatbot tailored for companies with complex payroll needs.
High Complexity, Many Questions
Complexity generates many questions for which employees expect correct answers. This prevents HR teams from applying their expertise where it truly matters.
On the Global Payroll Complexity Index, which ranks countries worldwide according to the complexity of their payroll systems, Belgium is in third place. The rising demand for hybrid work options further adds to this. In this context, expectations for HR staff are high. Moreover, they face numerous recurring questions that prevent them from focusing their expertise where it truly matters, says Frank De Weser.
“Complexity brings questions for HR professionals. Employees can often find answers to these questions in the policies and procedures communicated by their employer. Yet, they prefer to consult their HR colleagues directly. As a result, HR staff can’t focus enough on areas where they can genuinely create added value and where they derive satisfaction.
That’s why we are exploring what role AI can play in such environments. And we’re doing this in collaboration with CROPLAND, an Antwerp-based expert in AI solutions.”
AI Specialist in Three Areas
“We specialize in three areas”, elaborates Geert Vromman. “We assist companies with AI and data strategies, we handle data engineering tasks, and we develop custom solutions. While we used to build and train machine learning models to serve as their backbone, nowadays, powerful cloud technology is now readily available . As a result, we have expanded our service offering to also include the integration of cloud technology components into tailored solutions. This is exactly what we are currently doing with Syntegro.”
AI Chatbot for Common Questions
An AI chatbot can quickly and accurately answer common questions, reducing the workload of HR teams.
CROPLAND and Syntegro are working together on an AI chatbot for a client whose HR department processes around 20,000 questions annually. The goal? A solution that quickly and accurately answers common questions, reducing the workload of the HR department.
“With the chatbot, we primarily want to provide answers to simple questions without the intervention of an HR employee,” explains Geert. “Think of questions like: ‘I have a crack in my company car windshield, what should I do?’ or ‘How many days can I work from home, and how do I request remote work?’”
According to Geert and Frank, it is crucial that the AI chatbot’s answers are 100% accurate. If the questions are too complex, the chatbot redirects the question to an HR employee. This way, Syntegro and CROPLAND aim to address the majority of the 20,000 annual questions accurately using the AI chatbot.
Challenges and Opportunities
AI offers efficiency gains, improved job satisfaction, and motivation, and will create more opportunities in the future.
The biggest challenges of this project lie in the complexity, acknowledge Frank and Geert. Formulating a correct answer to a question that touches multiple regulations simultaneously is also challenging for an AI chatbot.
Nevertheless, the potential impact of this AI innovation on companies is significant. Not only do employees receive assistance quickly, but companies also achieve substantial efficiency gains, and the job satisfaction and motivation of HR teams increase, believe Syntegro and CROPLAND. “And with technology that evolves rapidly, opportunities are expanding just as quickly”, says Geert.
“Language technology is increasingly able to work with context and therefore needs fewer literal words to arrive at the right solution. The transition from the chatbot to an employee will also become automatic and seamless in the future. Moreover, using a chatbot opens up possibilities to analyze all questions, providing continuous insights into what is going on within your organization.”
